Keep useful notes after a group discussion
Give each team a note-taker, a shared question, and a short hand-in format. Record the decision, why the group made it, who will act, and what still needs an answer. A recording or transcript can support that work when participants agree to it; it does not replace checking the final notes.
Set up a record before teams begin
Generate your groups with the random team generator, save the draw, and give each group a team label. Pick one person to keep notes and another to check the hand-in. Make these roles explicit so that note-taking does not silently fall to whichever participant speaks least.
Put the discussion question at the top of the notes. Ask every team to answer the same question when you need to compare results. If groups have different prompts, keep each prompt with its notes so the facilitator can interpret the answer later.
A notes format for each team
Team and topic: Identify the group and the question it discussed.
Decision: Write the actual conclusion, or state that no decision was reached.
Reasoning: Keep the examples or constraints that explain the conclusion.
Action: State the next task, its owner, and an agreed deadline if there is one.
Open question: Note the uncertainty and who will investigate it.
Decide whether a recording helps
For a short discussion, written notes may be enough. For a longer discussion where you need to revisit exact wording, consider a recording only after everyone understands and agrees to what will be recorded, where it will be processed, who can access it, and when it will be deleted. Provide a way to participate without being recorded.
If you use a transcription service, review its current supported languages, recording workflow, storage settings, and plan limits before the session. Do not upload private participant lists or confidential discussion material without permission. This team generator does not record audio or upload your roster to a transcription service.
Check notes against the discussion
- Check speaker names, specialist terms, and any numbers against the recording or the people who said them.
- Separate a suggestion from a decision. A sentence in a transcript does not show that the group agreed to it.
- Ask the person named as an action owner to confirm the task and deadline.
- Let participants correct misunderstandings before distributing the final notes.
Bring the teams back together
Ask each team to share its decision and one unresolved question. Collect the same notes format from every group, then combine repeated actions and flag disagreements for the facilitator. Share a clean summary instead of a raw transcript when only the decisions are needed.
